Terms & Conditions
The agreement between us: bookings, credits, refunds, and the health essentials.
Effective July 22, 2026
These terms cover the services we provide at The Wellness Stop and through this website – Red Light Therapy, Detox Foot Baths, InBody scans, Vagus Nerve Reset sessions, coaching calls, events, and digital guides. By booking, buying, or using this site, you agree to them. Please read the health and cancellation sections in particular, because those are the ones that affect you most.
In these terms, “we” and “us” mean The Wellness Stop, Inc., a New York corporation of 146 East Main Street, Port Jefferson, New York 11777, which also trades as Karen Sullivan Wellness. “You” means the person booking or buying.
1. Wellness, not medical care
This is the most important thing on this page. Everything we offer is a wellness service. It is not medical treatment, diagnosis, or care, and it does not replace advice from your doctor. Nothing on this website, in our emails, in our guides, or said by Karen or our staff should be taken as medical advice.
- We do not diagnose, treat, cure or prevent any disease or condition.
- We cannot and do not promise any particular result. Bodies differ, and so do outcomes.
- Do not stop, start or change any medication or medical treatment because of something we said. Talk to your doctor.
- If you have a medical condition, are pregnant, or are under a doctor’s care, check with them before booking.
- If you think you are having a medical emergency, call 911.
Statements about our services have not been evaluated by the Food and Drug Administration.
2. Your health release form
Before your first Red Light Therapy session – and before certain other services – you must complete our health release form. Some conditions and medications make these services unsuitable or mean we need to adapt them, and the form is how we find that out.
- You must answer honestly and completely. We rely on what you tell us.
- You must tell us if anything changes. You can update your form at any time from your account.
- Karen may contact you before your session, or decline or adapt a session, based on your answers. That is a safety judgement and it is final.
- If you have not completed the form, we cannot deliver the session – and you may lose the appointment under the cancellation terms below.
- Clients under 18 need a parent or guardian to complete the form and consent.
3. Booking, arriving, and cancelling
Cancellations and no-shows
Please give us at least 24 hours’ notice to cancel or reschedule. Do that and there is no charge and no credit used. Cancel with less than 24 hours’ notice, or not turn up at all, and the session uses one credit from your balance.
This is not us being difficult. The appointment was held for you and the slot cannot be filled at short notice.
Running late
If you arrive late we will do what we can, but your session may have to be shortened so the next client is not held up, and it still uses a full credit. If you are more than 15 minutes late we may have to treat it as a missed appointment.
If we have to cancel
If we cancel – equipment fault, illness, weather, anything else – you get the session back in full. No credit is used, and we will rebook you or refund you, whichever you prefer.
Being at the store
- Follow the safety instructions you are given. For Red Light Therapy that includes wearing the eye protection provided for the whole session.
- Please do not attend if you are unwell or contagious. Tell us and we will move your appointment without penalty.
- We may end a session, or decline to serve someone, if behaviour is abusive or unsafe.
4. Session credits and packages
- Session credits you buy never expire. Buy a pack now, use it at your own pace. There is no deadline on anything you have paid for outright.
- Sessions included with a monthly membership work differently. They are a monthly allowance rather than a purchase, so unused ones carry over up to a limit, which is shown on the membership you choose. See section 6.
- Credits are per person and are not transferable. We track sessions individually so we can tailor what we do for you and keep your release form relevant. If you would like to gift sessions to someone, get in touch – we can set that up properly.
- Credits are tied to a specific service. Red Light Therapy credits cannot be spent on a foot bath, and vice versa.
- Credits have no cash value and cannot be exchanged for cash.
- Introductory offers – the complimentary 20-minute session and the buy-one-get-one offer – are limited to one per person.
Your live balance is always visible in your account, along with a history of every session added or used.
5. Prices and payment
- All prices are in US dollars and include applicable sales tax unless stated otherwise.
- Payment is taken in full at the time of purchase, through Stripe. We never see your card number.
- The price you pay is the price shown when you buy. If we change our prices later, that does not affect credits you have already bought.
- If a payment fails or is charged back, we may suspend your account and the credits attached to it until it is resolved.
- Obvious pricing errors are not binding on us – if something is listed at a clearly wrong price, we will contact you and cancel or correct the order rather than hold you to it.
6. Membership
If you take out a monthly membership:
- It is a recurring subscription. It renews automatically each month on the same date, and the card on file is charged, until you cancel.
- You can cancel at any time from your account. Cancelling stops future payments; it does not refund the month you are in.
- Your unused monthly sessions carry over. Miss a fortnight and nothing is lost, and membership sessions do not expire. But a membership is a monthly allowance, not a bank account, so it only carries over up to a limit.
- There is also a cap on how many you can bank at once. If you are already at the cap when a month renews, that month’s sessions are not added on top. The cap is shown on the membership you are buying.
- None of this applies to sessions you have bought. If you hold a package as well as a membership, the bought credits keep their “never expires” promise. Membership sessions are always used first, so your bought credits stay in reserve.
- Anything already in your balance when you cancel stays yours. We do not take back sessions you have already earned.
- If a renewal payment fails we will let you know and try again; if it keeps failing the membership stops.
7. Refunds
Sessions and packages
Sessions and session packages are non-refundable. Once bought, the credits are yours to use, but they cannot be exchanged for money.
The reason we can be firm about this is that we are equally firm the other way: credits you have bought never expire. There is no clock running, no “use it or lose it”, and no pressure to book before some deadline. Whatever you have bought stays in your account until you use it.
Sessions that come with a monthly membership are the one exception, because they are an allowance rather than a purchase. Those carry over up to a limit, as set out in section 6.
If we cancel on you, or if we cannot deliver a service you have paid for, that is a different matter and you will be looked after – see below.
Digital guides
Because guides are delivered instantly and cannot be returned, they are non-refundable once downloaded. If a file will not download or is faulty, tell us and we will fix it or refund you.
Events
Event tickets are non-refundable and cannot be exchanged or transferred to another person or another date. Places are limited, and once you have taken one it is off the table for somebody else. If we cancel or reschedule an event, you get a full refund.
Retail products
Physical products bought from our store are covered by the refund policy published at thewellnesstop.com/policies/refund-policy, not by this page.
To request a refund, email hello@thewellnesstop.com. Approved refunds go back to the original payment method and usually appear within 10 business days, depending on your bank. Where a refund covers unused credits, those credits are removed from your balance.
8. Digital guides – what you may do with them
When you buy a guide, you get a personal, non-exclusive, non-transferable licence to download it and use it yourself. You may print a copy for your own use.
You may not resell it, share the file or your download link, upload it anywhere, or reproduce it in your own materials. The guides remain our copyright. If you would like to use one with a group or a class, ask us – we are usually happy to say yes.
9. Events and workshops
- Places are limited and are confirmed only once payment or an RSVP is completed.
- We may need to change the date, time, venue or presenter of an event. If we do, we will tell you, and you can take the new date or a full refund.
- Some events are hosted by other people at other venues; where that is the case, their terms apply to your attendance.
10. Your account
- Keep your login details to yourself. You are responsible for what happens under your account.
- Give us accurate details and keep them up to date – booking confirmations and download links go to the email address on your account.
- Tell us straight away if you think someone else has got into your account.
- We may suspend or close an account that is being used abusively, fraudulently, or in breach of these terms. If we close your account for a reason that is not your fault, we will refund any unused credits.
11. Using this website
Please do not attempt to break into, disrupt, scrape, or overload this site, and do not use it to send anything unlawful, abusive, or misleading. All content on this site – text, images, guides, videos, branding – belongs to us and may not be copied or republished without our written permission. Quoting a short passage with a link back is fine.
12. Risk, and the limits of our responsibility
You take part in our services voluntarily and at your own risk. You confirm that you are in a fit state to do so, that you have told us anything relevant about your health, and that you will follow the instructions you are given.
To the fullest extent the law allows, we are not liable for indirect, incidental, special or consequential losses, or for loss of income or profit, arising from your use of our services or this website. Where we are found liable, our total liability is limited to the amount you paid us in the twelve months before the event giving rise to the claim.
Nothing in these terms limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited. Some states do not allow certain limitations, so parts of this section may not apply to you.
13. Third-party services
We use other companies to run parts of the service – Stripe for payments, SureCart for checkout, Google Calendar for scheduling, Zoom for online calls, and others listed in our Privacy Policy. When you use those parts of the service, their terms apply too. We are not responsible for outages or failures in services we do not control.
14. Changes to these terms
We may update these terms. The effective date at the top tells you when they last changed, and the version published here is the one that applies. If a change materially affects you – a change to the cancellation or refund terms, for instance – we will tell you by email before it takes effect. Changes do not apply retrospectively to purchases you have already made.
15. Governing law
These terms are governed by the laws of the State of New York, without regard to its conflict-of-law rules. Any dispute will be brought in the state or federal courts located in Suffolk County, New York, and we both agree to those courts having jurisdiction.
Before that, though: if something has gone wrong, please talk to us first. Almost everything is fixable with a phone call.
If any part of these terms is found unenforceable, the rest continues to apply.
